RESPONSIBILITIES
• Responsible for coordinated marketing efforts for all lines of business through convention & conference presence and customer events, sponsorship opportunities, promotional merchandise, and team wear.
• Work with internal and external stakeholders to schedule, plan and execute a wide range of events and sponsorship initiatives across all lines of business.
• Lead the end-to-end planning for small to mid-sized events, including room blocks, F&B outlines, sourcing venues, vendors, transportation, and entertainment; managing update documents; updating websites; drafting communications, managing contracts, tracking RSVPs, creating surveys, ordering merch/swag, booking dinner reservations, agenda development, etc.
• Manage the fulfillment of sponsorship opportunities for industry organizations, customers, and clients, including ordering swag, banners, tablecloths, marketing materials, etc.
, for an onsite booth presence or experience, liaising with internal and external stakeholders on speakers and content, and managing timelines and deadlines.
• Drive excellence in the event discipline, deliver exceptional experiences that impress, are within budget, and do so in innovative ways that connect with the personality and needs of our audience.
• Continually reassess events and experiences to improve upon for future years.
Identify areas of improvement with solutions.
• Submit, track, and manage costs closely, including processing invoices, tracking payments, and reconciling budgets.
• Work with internal and external stakeholders to plan and manage the robust company event calendar, proactively finding and adding future key event dates.
• Collaborate with Sales Team to track and support local/regional events and sponsorships.
• Work with marketing and sales teams to develop and procure appropriate promotional merchandise at events, holidays, and general sales giveaways.
• Work with marketing and management teams to plan and procure appropriate team wear for internal and external staff use and manage coordinated ordering efforts.
• Work cross-functionally to ensure all needs, approvals and deadlines are met.
• Support onsite at sponsorships and events as needed.
• Develop and maintain excellent relationships across the business and with external partners.
• Pack and schedule pallets for conventions/tradeshows.
• Plan and deliver convention information sessions with internal staff.
• Plan, coordinate and distribute holiday/observance gifts.
QUALIFICATIONS
• 2-4 years of conference/event and sponsorship planning experience
• Team player who collaborates daily and can quickly pivot to assist on other projects as needed.
• Strong critical thinking and problem-solving skills.
• Demonstrate professionalism, responsiveness, and exceptional customer service skills.
• Close attention to detail for accuracy and efficiency and superior organizational skills.
• Ability to prioritize multiple tasks and deadlines simultaneously in a high-volume, fast-paced environment.
• Remains flexible and positive in shifting daily priorities and situations.
• Comfortable being hands-on as the role involves heavy execution working within a small team
• Intermediate skills with Microsoft Office Suite products such as Word, Excel, PowerPoint, Outlook, etc.
• Ability to travel 5%-10%.
Ability and willingness to work extended hours and varying work schedules as required.
• Capability to lift and move objects up to 50 lbs.

Pay: $47,500.
